Academic Misconduct
The reporting described below is for resolved cases and designated reporters only. Faculty seeking to file an initial charge of academic misconduct should speak with their Chair or Director for information about how to proceed.
Reporting Process
The Office of Academic Affairs maintains a central record of all resolved cases of academic misconduct in Maxient for Lawrence and Edwards campuses. We periodically review this data to look at changes and patterns over time, using the information gathered to inform process.
Authorized staff in the College and Schools can search Maxient to determine if a student facing current charges has a prior incident. Records for both undergraduate and graduate students are maintained for a period of seven academic years.
Reporting Requirements
Schools not using Maxient for case management are required to report resolved cases of academic misconduct (see link in sidebar), consistent with USRR requirements. Academic Affairs strongly encourages reporting of resolved cases as soon as a case is closed. Otherwise, the final deadlines for reporting are as follows:
- Fall semester cases - February 1
- Spring semester cases - July 1
- Summer term cases - September 1
If a deadline falls on a weekend, reporting is due by the following business day.

Disclosure of Records
Records of academic misconduct are maintained for 7 academic years unless the sanction included a transcript notation; that notation is retained and included indefinitely on the transcript.
If a student authorizes the institution to disclose academic misconduct records, the following information will be provided for any record of academic misconduct occurring in the 7-year retention period:
- charge
- sanction
- semester
- course in which the infraction took place.
Charges resulting in a finding of not responsible/no sanction will not be disclosed. Charges resulting in a warning only (oral or written) will not be disclosed. Information about charges occurring outside the retention period will not be provided, except any notation that may be on the transcript.
