Academic Unit Updates
Academic unit updates go through different levels of approval, sometimes including the Kansas Board of Regents. Faculty Senate Rules and Regulations 5.3.3. outlines the coordination of inter-school academic matters. It is highly recommended to consult FSRR before beginning unit updates.

Common Updates
To begin a name change for an academic unit (including Department, School/College, Institute, or Center), each college/school should follow the procedures outlined by your internal school/College governance. Once that approval has been received, the request should be submitted into the CIM - Misc. Admin system. As part of the request units are required to include the following information:
- Rationale for the name change
- Potential impacts of the name change
- Effective date of the name change
Academic Affairs reviews the initial request, then is sent to the Provost. Upon approval of the Provost, Academic Affairs submits the request to the Kansas Board of Regents (KBOR). Once at KBOR, these changes require approval of the Council of Chief Academic Officers (COCAO) and the KBOR President/CEO.
The following parties are notified of the name change upon approval:
CLAS/school Dean, Vice Provost or Vice Chancellor for Research, Financial Aid, Admissions, International Affairs, Student Information Systems, the Registrar's Office, AIRE, Undergraduate Education, and Graduate Studies.
When it is in the best interest of the University, academic units may be merged together. To begin, each college/school should follow internal governance procedures. Once college/school approvals have been received, the request should be submitted into the CIM - Misc. Admin system. As part of the request units are required to include the following information:
- Program or programs being merged
- Effective date of the merger
- Rationale for the merger
- Financial arrangements made for the merger
- Arrangements for existing students to complete programs in the originating department (teach-out)
- Communications plan to announce the merger
- Additional relevant information
Upon Provost approval, the Kansas Board of Regents (KBOR) is notified of the change. In some cases, KBOR approval may be required.
The following parties are notified of the move upon final approval:
CLAS/school Dean, Financial Aid, Admissions, International Affairs, Student Information Systems, the Registrar's Office, AIRE, Human Resources, Undergraduate Education, and Graduate Studies.
The first step in proposing a new department is for each college/school to follow internal governance procedures for initial approval. Once internal procedures are completed, the request needs to be submitted into the CIM - Misc. Admin system. As part of the request units are required to include the following information:
- Rationale for the new department
- How affected parties were consulted
- Effective date for new department
New departments require approval from the Dean, Provost, and the Kansas Board of Regents. The following parties are notified of the move upon final approval:
Human Resources, CLAS/school Dean, Financial Aid, Admissions, International Affairs, Student Information Systems, the Registrar's Office, AIRE, Business & Financial Planning, Undergraduate Education, and Graduate Studies.
